User and Agency Responsibility

Welcome to our Terms and Conditions. In this section, you will find all the necessary information to understand how our website operates, as well as the rules governing the purchase, booking, and use of our tourist services. Our goal is to provide you with a clear, safe, and reliable experience from the very first moment you enter our platform.

By browsing this site, making an inquiry, or completing a reservation, you confirm that you have read and accepted these terms. We recommend that you review them carefully, as they explain your rights, responsibilities, and the policies that apply to each of our tours, packages, and services offered. We want your planning and travel process to be transparent, free of surprises, and fully trusted.

To confirm the reservation, the passenger must make a payment of 40% of the total program as an advance for the contracted services. Once this advance is received, they must provide the following information:

  • Full first and last names
  • A legible photo of their passport or ID card
  • A legible photo of their student ID (if applicable)
  • Exact travel dates
  • A legible photo of domestic and international flights
  • A screenshot or photo of the paid advance voucher

With all this information, we will proceed to issue a booking confirmation voucher detailing all contracted services, thereby officially confirming the reservation.

The passenger must confirm and accept the booking confirmation voucher; if there are any observations, they must communicate them immediately.

The advance payment can only be made through the following payment methods:

  • Payment link: Passenger details will be requested to generate a payment link through the IZIPAY intermediary. A commission of 7 dollars will apply for every 100 dollars or less. Payment must be made within the validity period of the link using a credit or debit card.
  • Deposit into the corporate account: BBVA bank account details of the company will be provided. Bank fees are to be covered by the passenger and may vary depending on the financial institution.
  • Western Union: Personal details of our legal representative will be provided to make the transfer. Transfer fees are to be covered by the passenger and vary according to the city of origin.

In the case of card payments in a currency other than that of the program, the passenger will assume any differences generated by their bank's exchange rate.

For payments of the remaining balance, it is recommended to pay in cash in US dollars to avoid the 7-dollar commission surcharge for card payments.

All modification requests must be submitted at least 90 days prior to the start date of the program to guarantee changes to the contracted services.

Depending on the type of request made, the following conditions will apply:

Change of Program Category:

  • This request will be accepted with a minimum of 45 days' notice prior to the travel date.
  • It applies solely to changes in the accommodation category (for example: from a standard plan (2 stars) to a superior plan (3 stars)), without affecting other services such as admission tickets, train tickets, or transportation.
  • Once the new category is confirmed, the total cost of the program will be recalculated and the passenger will be informed.
  • Upon approval by the passenger, the agency will issue a new updated booking confirmation voucher, detailing the contracted services.
  • The passenger must confirm and accept the new booking confirmation voucher. In case of any observations, these must be communicated immediately.

Change of Program Dates:

  • This request will only be accepted with a minimum of 60 days' notice prior to the travel date.
  • Changes are only allowed to a date later than the one initially booked. Changes to earlier dates are not accepted, as availability for admission tickets, train tickets, and other tourist services cannot be guaranteed.
  • Any date modification is subject to the payment of penalties and additional expenses, which include:
    • Purchase of new admission tickets to Machu Picchu and/or Huayna Picchu.
    • Penalties and fare differences for train tickets.
    • Purchase of new admission tickets to archaeological sites included in the program.
    • Administrative and operational expenses.
  • Once the new travel dates are confirmed and verified with the passenger's flights, the agency will issue a new updated booking confirmation voucher, detailing the contracted services.
  • The passenger must confirm and accept the updated voucher. In case of any observations, these must be communicated immediately.

Change of Traveling Passengers:

  • This request will only be accepted with a minimum of 90 days' notice prior to the travel date.
  • Requests submitted with less notice will not be accepted, as availability for admission tickets, train tickets, and other tourist services cannot be guaranteed.
  • Any passenger modification is subject to the payment of penalties and additional expenses, which include:
    • Purchase of new admission tickets to Machu Picchu and/or Huayna Picchu.
    • Penalties for changing details on train tickets.
    • Purchase of new admission tickets to archaeological sites included in the program.
    • Administrative and operational expenses.
  • Once the complete details of the new passenger and the payment of the corresponding penalties are received, the agency will issue a new updated booking confirmation voucher, detailing all contracted services.
  • The passenger must confirm and accept the updated booking confirmation voucher. In case of any observations, these must be communicated immediately.

Important note: Admission tickets to Machu Picchu and Huayna Picchu are non-refundable and non-transferable. In case of cancellation, 100% of the value of these tickets will be withheld in addition to the indicated penalty.

Any cancellation request will be accepted up to a minimum of 48 hours prior to the program's start date and is subject to the collection of penalties, as some contracted services are non-refundable and non-transferable.

The charges applied will depend on how far in advance the cancellation is made, in accordance with the terms and exceptions detailed below:

For programs of 2 or more days

(Traditional tours and/or Machu Picchu / Huayna Picchu)

  • 60 to 90 days before the travel date: Penalty of 10% of the total program cost per passenger for cancellation of entrance tickets, trains, administrative, and operational expenses.
  • 30 to 59 days before the travel date: Penalty of 20% of the total program cost per passenger for cancellation of entrance tickets, trains, hotels, administrative, and operational expenses.
  • 15 to 29 days before the travel date: Penalty of 30% of the total program cost per passenger for cancellation of entrance tickets, trains, hotels, administrative, and operational expenses.
  • 7 to 14 days before the travel date: Penalty of 50% of the total program cost per passenger for cancellation of entrance tickets, trains, hotels, transportation, administrative, and operational expenses.
  • 3 to 6 days before the travel date: Penalty of 70% of the total program cost per passenger for cancellation of entrance tickets, trains, hotels, transportation, administrative, and operational expenses.
  • Less than 48 hours before the travel date: Penalty of 100% of the total program cost per passenger, since all contracted services are reconfirmed and there is no possibility of a refund.

Cancellation for Health reasons: In the event that the passenger cannot make the trip due to health reasons, the cancellation request will be evaluated on an individual basis, taking into account how far in advance the situation is communicated. For this, the following is required:

  • Present an official medical certificate issued by an authorized medical center or clinic, justifying the inability to travel.
  • With the documentation presented, the cancellation of contracted services, such as entrance tickets, train tickets, and accommodation, will proceed.
  • The agency will calculate the amount to be refunded according to the established penalties.
  • The passenger will be informed of the total amount to be refunded and must provide confirmation and acceptance of the amount; if there are any observations, they must communicate them immediately.

Cancellation in case of social factors or conflicts: This request will be evaluated in the event of social conflicts (strikes) taking place in Peruvian territory that directly affect the passenger's itinerary, and it will be handled independently, taking into account how far in advance it is reported and because it is a cause beyond the passenger's control.

  • The agency will manage the situation by demanding the greatest possible flexibility from tourism service providers (tickets, trains, hotels, transportation) in order to obtain benefits in favor of the passenger.
  • We will proceed with the cancellation of the admission ticket to Machu Picchu/Huayna Picchu, the cancellation of train tickets, and the cancellation of hotel reservations.
  • The passenger will be informed of the total amount to be refunded and must provide confirmation and acceptance of the amount; if there are any observations, they must communicate them immediately.

For individual tours

(does not apply to Machu Picchu or Huayna Picchu)

  • 15 to 60 days before the tour date: Penalty of 10% of the total cost per passenger, for administrative and operational expenses.
  • 7 to 14 days before the tour date: Penalty of 20% of the total cost per passenger, for transportation services, guides, entrance fees, administrative, and operational expenses.
  • 2 to 6 days before the tour date: Penalty of 40% of the total cost per passenger, for transportation services, guides, entrance fees, administrative, and operational expenses.
  • 1 to 5 days before the tour date: Penalty of 60% of the total cost per passenger, for transportation services, guides, entrance fees, administrative, and operational expenses.
  • Less than 24 hours before the start of the tour: Penalty of 100% of the total cost per passenger, since all contracted services are reconfirmed and there is no possibility of a refund.

For individual tours

(Machu Picchu and/or Huayna Picchu)

  • 30 to 60 days before the tour date: Penalty of 25% of the total cost per passenger, for entrance ticket, cancellation of train tickets, administrative, and operational expenses.
  • 7 to 29 days before the tour date: Penalty of 40% of the total cost per passenger, for entrance ticket, cancellation of train tickets, administrative, and operational expenses.
  • 3 to 6 days before the tour date: Penalty of 70% of the total cost per passenger, for entrance ticket, cancellation of train tickets, administrative, and operational expenses.
  • Less than 48 hours before the start of the tour: Penalty of 100% of the total cost per passenger, since all contracted services are reconfirmed and there is no possibility of a refund.

Any return or refund will be made after managing the cancellation of services and obtaining confirmation from the service providers (entrance fees, train tickets, transportation, hotel reservations, among others). The procedure will be carried out as follows:

  • Verification of the request: Once the cancellation request is received, the agency will review the case and confirm which services were contracted and which are refundable according to the aforementioned cancellation policies.
  • Application of penalties: The established penalties will be applied to the total cost of the program, based on how far in advance and the reason for which the cancellation was requested.
  • Amount to be refunded: Once the deductions are applied, a refund voucher will be issued detailing the total cost of the program, the amount corresponding to penalties, and the final balance to be returned.
  • Passenger confirmation: The passenger will receive the refund details and must confirm and accept the amount. In case of any observations, these must be communicated immediately.
  • Processing period: The timeframe for refunds will be from 15 to 30 business days, starting from the passenger's acceptance of the amount.
  • Refund methods: To execute the refund, we offer two methods:
  • Western Union: The amount will be sent under the name of the requesting passenger through this international money transfer company. Transfer fees will be covered by the requesting passenger.
  • Credit note: The amount to be refunded will be kept as a credit or advance in favor of the passenger, valid for a future trip or transferable to a family member or friend. In this case, the passenger must provide their acceptance and consent.
  • All prices for programs and individual tours are expressed in United States Dollars (USD).
  • Any foreign passenger not residing in Peru is exempt from the General Sales Tax (IGV), provided that their stay in the country does not exceed 60 days. Otherwise, they must pay said tax in accordance with current regulations.
  • Prices for programs that include accommodation are expressed per person based on double, matrimonial, or triple occupancy. If a passenger is traveling alone, they must request a quote based on a single room, which implies a rate increase.
  • Prices for programs without accommodation included are expressed per person and do not vary based on the number of passengers in the group.
  • Prices only include the services specified in the program, such as:
    • Airport transfers
    • Transportation
    • Guided tours
    • Professional tour guide
    • Admission tickets
    • Train tickets (when applicable)
    • Accommodation (when applicable)
    • Specified meals
  • Prices do not include:
    • Domestic or international flights
    • Travel and/or accident insurance
    • Horse, motorcycle, or ATV rental services on adventure tours (Humantay Lake, Rainbow Mountain, etc.)
    • Meals not specified
    • Tips
    • Airport taxes
    • Other services not detailed in the program
  • Program requotes may show variations in prices due to high demand during peak season or holidays, as well as rate increases, especially for trains.
  • Rates for groups of 10 or more passengers are subject to special discounts, which must be arranged with the sales advisor.
  • Passengers considered children from 3 to 10 years old will receive a special discount; however, from 11 years old and up, they are considered adults and the standard rate applies.
  • Passengers considered infants from 0 to 3 years old are 100% exempt from the cost of any program or individual tour.

OF ANDINO PERÚ TOURS:

  • Personal data protection: The agency guarantees the confidentiality of the information provided by the passenger, in accordance with current Peruvian legislation on data protection. The information will be used solely for purposes related to providing the contracted services.
  • Reservations, modifications, and cancellations: The agency ensures the management of all contracted services and will issue the corresponding booking confirmation vouchers. Likewise, it will process modification or cancellation requests submitted by the passenger, applying the established policies and providing the greatest possible flexibility in coordination with suppliers.
  • Fulfillment of services: The agency is responsible for providing all contracted services such as airport transfers, transportation, guided tours, professional tour guides, admission tickets, train tickets, specified meals, and accommodation; the latter must match the hotel category selected in the program. All services referring to infrastructure or means of transportation must meet the quality standards offered by the agency to fulfill the passenger's expectations.
  • Fulfillment of the program itinerary: The agency is responsible for completing the tours and activities as established in the program. In case of variations, the passenger will be informed in a timely manner. The agency will not be held responsible for the inability to provide services due to weather conditions, natural disasters, social conflicts, strikes, border closures, health emergencies, or other force majeure causes. In such cases, alternatives will be proposed for the benefit of the passenger.
  • Travel and third-party insurance: The agency does not provide travel or accident insurance; it is recommended that the passenger purchase these services independently. The agency acts as an intermediary between the passenger and tourism service provider companies (trains, land transportation, operators, airlines, restaurants, hotels, among others); therefore, it does not assume direct responsibility for losses, damages, or injuries caused by these third parties, who operate under the current regulations of the country.

OF THE PASSENGER:

  • Travel documentation: The passenger is responsible for providing all information requested by the agency, such as a valid and current passport or ID card, international flights, among others. In the case of minors traveling with only one parent or with a third party, a notarized authorization document must be presented.
  • Compliance with the itinerary: The passenger must respect the schedules and conditions of the contracted program. If they decide not to complete a service or the program itinerary, they will not be entitled to a refund.
  • Conditions of participation: The passenger must show up on the dates and times indicated for each tour or activity in optimal conditions, meaning they have rested sufficiently the night before. The participation of passengers under the influence of alcohol, drugs, or narcotics will not be permitted; in such cases, they will be barred from participating in the activity to safeguard their physical and emotional integrity, and a 100% penalty for the activity will apply without the right to a refund.
  • Travel and/or accident insurance: The passenger acknowledges and agrees that the agency does not provide travel or accident insurance and that their participation in the activities is subject to the acceptance of these terms, meaning they must purchase travel insurance independently if necessary.
